Job details

The Data and Service Delivery Governance Branch within DFAT’s Information Management and Technology Division has a requirement for multiple ICT Portfolio, Programme and Project Support Officers to support delivery, management and governance of various ICT projects. Duties are diverse and will include engagement with multiple divisions across DFAT to support the delivery of various projects.

Note: Candidate experience level is targeted at the APS6 equivalent (not the BuyICT default level of APS4).


Key duties and responsibilities

Project Support Officers support the Programme Manager in the day-to-day management of a range of projects ranging in complexity and size. They are required to undertake work that is complex in nature, work under limited direction with the opportunity for reasonable autonomy and accountability. Resources at this level exercise both initiative and judgment in the interpretation of policy, provide detailed technical, professional, and/or policy advice in relation to complex problems and may assist in strategic planning, program and project management and policy development. They are required to liaise with a range of stakeholders in a representational role. Work may involve management responsibilities requiring the setting of priorities and managing workflows.

Criteria

Essential criteria

  1. Managing project documentation, tracking progress, preparing reports, organising meetings, and supporting monthly board process.
  2. Liaising with stakeholders, technical staff, and vendors to ensure smooth project flow.
  3. Supporting risk and issue management, dependencies and actions.
  4. Contribute to the development and maintenance of the governance structure for the PMO.
  5. Have an in-depth knowledge of the role and functions of the project management office and an understanding of how these relate to the wider DFAT/government environment.
  6. Provide expertise and technical knowledge in specialist area across a range of programs or activities for the department.

Desirable criteria

  1. Takes responsibility for the provision of portfolio, programme and project support.
  2. Advises on the available standards, procedures, methods, tools and techniques.
  3. Evaluates project and/or programme performance and recommends changes where necessary.
  4. Contributes to reviews and audits of project and programme management to ensure conformance to standards.
